Fast paced and growing software firm is searching for a dynamic, customer focused and detail oriented individual to join our team as Office Manager and Project Coordinator. Responsibilities include, coordinating and tracking activities for various projects, proactively following up on timelines and deliverables as well as reporting on progress.  As the first point of contact, individual will gather information and direct callers and visitors appropriately, and follow up if required. Additional administrative responsibilities include book keeping, payroll, client billing as well as organization and preparation of marketing materials.




  • Project Coordination
    • Providing support to project managers or team leaders on multiple projects simultaneously
    • Assisting in tracking and following up on tasks
    • Following up with project participants to ensure adherence to timelines
    • Escalating issues as required
    • Identifying potential challenges and resolving or escalating
    • Reporting on project progress
    • Following up to ensure projects are finalized


  • Administrative Support
    • Act as first point of contact for callers and visitors, identify needs and direct appropriately
    • Entering and reconciling monthly accounting transactions into Quickbooks
    • Process payments for accounts payables
    • Process and manage customer billings
    • Process payroll using Ceridian Powerpay
    • Track client and prospect information in Salesforce
    • Organize marketing material as required
    • Other duties as required


Skills and Experience:

  • Diploma in business management or equivalent
  • Previous project coordination experience preferred
  • Proficient in MS Office as well as aptitude to learn systems
  • Understanding of basic bookkeeping practices
